The role of the Legal and Governance Team is to provide, promote and support good governance and decision making across the University and support statutory, regulatory, and legislative compliance obligations through provision of a range of services that uphold the governance principles of transparency, integrity, stewardship, and institutional accountability.
About the role
The Executive Officer is accountable for identifying solutions and applying strong business acumen and expertise to drive effective administrative support processes across the team, while contributing to the delivery of effective governance services across the University. The role also involves providing high‑level, confidential, efficient personal and executive support, and undertaking projects related to the Governance and Legal portfolio.
Key Responsibilities
- Undertake and manage activities relating to the general operations of the PVC Governance and Legal, including providing high‑level administrative support.
- Maintain an efficient and confidential filing, records, and archival process; ensure all statutory, regulatory, and authority filings are completed accurately and within required timeframes; uphold university recordkeeping requirements; perform gatekeeper duties by screening visitors and calls; act as the first point of contact for internal and external stakeholders; monitor shared inboxes to ensure timely responses and follow‑up; and prepare and edit correspondence, reports, and confidential materials to final stage.
- Provide administrative support to the Vice Chancellor when on the Sydney Campus, including coordinating meeting setup, catering, printing meeting packs, agendas, and confidential documents, and managing ad hoc administrative requests.
- Undertake research, prepare briefing and discussion papers, and implement assigned projects.
- Coordinate and organise meetings, conferences, and committees within the Governance and Legal portfolio.
- Maintain Governance and Legal team budget records and support finance-related tasks.
Qualifications, skills & experience
- Degree qualification in a relevant discipline with several years of related experience, or an equivalent combination of relevant experience and/or training.
- Extensive experience in a senior executive support or personal assistant role within a complex organisation, with highly desirable experience in university governance, secretariat services, or a related field.
- Strong problem‑solving, analytical and risk‑management skills, including the ability to interpret complex data, identify issues proactively, provide informed advice, and exercise sound judgement.
- Demonstrated ability to work under general direction, lead projects when required, take responsibility for outcomes, and manage tasks or projects from inception through to completion.
- High level of computer literacy with proficiency in MS Office, videoconferencing platforms, and database applications.
- Excellent written and verbal communication skills, strong interpersonal and presentation abilities, a high level of discretion in managing confidential information, and effective time‑management skills to handle competing deadlines.
